Coastline is currently accepting resumes for a full-time Executive Assistant with an hourly range of $32.97-$38.47.

Reporting to the CEO, the Executive Assistant provides comprehensive administrative and organizational support to the CEO, Senior Leadership Team, External Affairs Team, and Board of Directors. This position coordinates meetings, manages administrative processes, maintains records and supports organizational projects, including Development Committee activities and fundraising events.

The Executive Assistant serves as a key point of contact for internal and external stakeholders, exercising sound judgment, discretion and professionalism. The position requires strong organizational skills, initiative and the ability to manage competing priorities in a fast-paced environment.

A high degree of reliability, confidentiality, and follow-through is essential to success in this role. The ideal candidate is proactive and resourceful, with the ability to work independently, anticipate what needs to be done, and ensure that important commitments are handled with accuracy, urgency, and care. This is a position for someone who takes pride in being highly dependable, staying ahead of priorities, and serving as a trusted resource to the CEO and leadership team.

Qualifications

  • Completes a broad variety of executive and administrative support-related tasks to the Development Committee and fundraising events, including event preparation, on-site support, and attendance as required.
  • Demonstrates ability to build relationships with stakeholders including staff, Board members, external partners and donors.
  • Effectively handles external contacts related activities with a high degree of professionalism, attention to detail and confidentiality.
  • Completes critical aspects of deliverables and special assignments by establishing objectives; determining priorities; time-management; and making adjustments to plans for quality results.
  • Must have proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrates a high level of customer service.
  • Demonstrates a proactive approach to problem-solving with strong decision-making capability.
  • Effective interpersonal communication skills; verbal and written.
  • Minimum of three (3) years of skilled executive, administrative or comparable professional support experience, including experience supporting leadership or management.
  • Associate or Bachelor’s degree in business, office administration or related field preferred.
